How to Use ChatGPT for Event Planning

Using artificial intelligence to plan events is no longer a dream, it's a reality.

On November 30, OpenAI opened public free access to ChatGPT. Less than a week later, it had accumulated over 1 million users. Now experts predict that ChatGPT will soon threaten Google’s dominance in search and mark the end of homework and take-home exams.

A quick Twitter search for the #GPTchat hashtag reveals thousands of users sharing the results of their experiments and tests. Skift CEO Rafat Ali did his own round of travel-focused tests with some surprising results.

Artificial intelligence (AI) is not new. Digital voice assistants such as Apple’s Siri and Amazon’s Alexa, both of which make use of AI for speech recognition and outputting results. Another area where AI has been used extensively is with writing assistants. For more open-ended uses of AI, many publicly available AI platforms tend to focus on image generation. DALL·E 2, Stable Diffusion, Playground, and Midjourney are all popular. ChatGPT’s simple interface and lack of limitations are proving to be a winner.

When it comes to meetings and events, multiple platforms have been using AI for several years now. Matchmaking is the most common use, but AI is also used for content recommendation, translation, and data analytics, to name a few.

So can this type of DIY use of AI be a game changer? I decided to put it to the test. And the best way to do this…is to ask ChatGPT.

I headed over to the ChatGPT page on the OpenAI website, clicked the [TRY CHATGPT] button, and then created a new account.

Next, I typed in “Write a blog post about how AI can be used to assist in marketing and producing a conference,” and this was the result.

Artificial intelligence (AI) has the potential to revolutionize the way conferences are marketed and produced. By leveraging AI technology, conference organizers can gain valuable insights into their target audience, optimize their marketing efforts, and streamline production.
One of the key ways AI can assist in marketing a conference is through data analysis. By gathering data on attendees and potential attendees, AI algorithms can identify patterns and trends to help conference organizers tailor their marketing strategy. For example, AI can help organizers understand which social media platforms are most effective for reaching their target audience and suggest the best times to post content to maximize engagement.
In addition to data analysis, AI can also be used to automate many of the tedious tasks involved in conference marketing. For instance, AI-powered chatbots can answer common questions from attendees, freeing up time for the marketing team to focus on more critical tasks. Similarly, AI algorithms can be used to analyze customer feedback and identify areas for improvement, allowing conference organizers to make adjustments and ensure a successful event.
When it comes to producing a conference, AI can also play a crucial role. By using AI to automate tasks such as scheduling and logistics, conference organizers can save time and reduce the potential for human error. For example, AI algorithms can create a schedule for speakers and workshops, ensuring that all sessions run smoothly and efficiently. Additionally, AI can monitor the conference in real-time, alerting organizers to any potential issues and allowing them to quickly respond and resolve them.
Overall, AI has the potential to greatly assist in the marketing and production of conferences. It’s hard to believe that ChatGPT wrote the paragraphs above in less than 10 seconds. This is not a literary masterpiece; the text is readable, appealing, and accurate.

So what more can it do?

Defining AI

AI is a set of technologies that can improve the performance of tasks by quickly discovering patterns, searching data, translating languages, answering questions, and making predictions. This includes machine learning, natural language processing, and image, speech, and text recognition. These technologies, when combined, are potent as they enable computers to use large data sets to perform tasks more quickly and accurately than humans.

So what’s next? For example, could AI be used to plan a business event? Let’s put that to the test.

My next thought was to test creating a concept for an event, and why not a new conference about using AI in the events industry? The concept was simple but solid, and AI identified the typical selling points of conferences within its output. 

I decided to go further and see if the AI could help assess the event’s commercial potential, but it could not. It did, however, suggest how to gauge interest from potential attendees and understand the size and potential of the market. This is not rocket science, but it is solid advice.

Event Sourcing Using AI

With a solid concept defined, it was time to test AI’s capabilities for sourcing speakers. It provided a list of specific and apparently relevant speakers. However, this proved unreliable. A second attempt using the same prompt produced a list of complete garbage. At some point, ChatGPT outputted error messages stating that the data used was from 2021, which may be the cause of these discrepancies. Perhaps best to stick with Google searches for sourcing speakers.

Sourcing sponsors, on the other hand, seems to be a no-brainer. While the ten companies suggested seeming to be event tech companies using AI, this was much faster than doing a Google search for event tech company names and looking for mentions of AI. This instant correlating of results is a huge time saver.

When asked about destinations, AI suggested running a conference on this topic in a “major city with a thriving tech industry, such as San Francisco or New York.” It supported this with a rational argument for a venue with good technology and made two suggestions for valid venues. It also found a suitable venue when asked for a recommendation in a different and specific location. In the future, AI may be able to suggest venues with restrictions added to the prompts for matching event needs with venues. This could be a revolutionary use of AI in the meetings industry.

Event Marketing and Sales Powered by AI

Perhaps where AI impressed the most was in creating promotional copy for both attendees and sponsors. Again, the messaging was correct, intentional, consistent, and professional.

Event marketers and copywriters can and should do better than this, but this is an excellent starting point. In addition, for event-organizing companies where English is not the first language, this may be better or more grammatically correct than what is currently being used.

From event promotion to early-bird deadlines and sponsor upsells for experiential activations, AI produced consistently good results. It struggled to go further and push beyond the standard, but that may be the perfect place to hand off to a human expert who can add a specific style to the copy.

AI Supported Event Logistics and Content Curation 

Even for more logistical-focused prompts, AI did a good job. For example, the results were remarkably good by adding the event date, start and end times, and the location for the prompt used for frequently asked questions on an event website. In addition, AI added several additional answers, including information about dress code, meal provision, Wi-Fi, group registration, and transferring registration. Presumably, it added these based on typical FAQ pages it accessed; nevertheless, this is again useful and impressive.

While AI evaded questions about registration pricing, it offered valuable suggestions on calculating this type of pricing. While pricing specifics are not its forte, AI’s questions to ask keynote speakers were impressive. With more research and curation, this set of questions should lead to a compelling on-stage interview or post-event video follow-up.

AI excelled at creating pre-event surveys for attendees and sponsors, making several suggestions that would be useful to ask at registration or later in the process to determine the return on investment at a later stage. The attendee and sponsor post-event surveys were equally as impressive and, with a bit of human curation, could be paired to provide an excellent combination of data points.

AI-Powered On-Site Event Marketing

AI again excels regarding marketing copy and planning for future marketing campaigns during events. What’s interesting about this strong performance is that the output goes beyond marketing copy. The AI outputs are solid, from a highlights email to a shot list for creating a promotional video. They could prove to be incredibly useful for stressed marketing teams on site. Opening speeches, photo shot lists, social media copy (including unique hashtag suggestions), and the standard attendee thank you email all came at a consistently high standard.

Learnings

This experiment taught us much about what AI can and cannot do well, at least in its current iteration. With machine learning in action, what is possible will keep evolving.

First, AI clearly interprets text it captures from various websites. For example, when I asked AI to find potential sponsors, the output consisted of event tech companies that mentioned AI on their websites. So, if you want information about your company or event to be part of what AI outputs, then you must optimize for this. I am unclear on the exact way to optimize this, but I expect it to be similar to SEO.

As I went through the process, the results compounded. Using the exact words to build a thread of answers worked well. However, the results did not match previous outputs whenever I deviated from a line of prompts.

It’s worth noting that I used language specific to planners, which I expect led the AI to use content aimed at planners and serve up relevant suggestions and consistent copy. This insider knowledge may be the key to getting this level of results, which in this case are very appropriate.

I had limited success with adjusting the style of writing. Adding adjectives such as cheeky or outlandish to the prompts added some flair to the copy. Overall the output was proficient, consistent, and compelling but could have been more exciting.

Finally, a word of warning. When asking for specific speakers, the AI produced a list of speakers with impressive credentials. However, upon closer inspection, some speakers were not real, and overall, the speaker’s information was unreliable. On the flip side, the results were accurate and reliable when asked to source a venue. This is because the AI always makes suggestions, not decisions, and adds a series of caveats along with each output.

I am looking forward to further exploring the options to create speaker graphics and other graphical marketing materials using AI. Of course, this will require a different set of AI tools, but there is no reason why this is not possible. Using an app like Lensa to quickly create stylized photos for all speakers or attendees is already possible.

How Does This Impact Event Professionals?

I ended up creating a complete manual for planning or marketing a new conference using AI. Having the ability to use AI in this way is exciting on many levels, but it also raises the bar for event professionals worldwide. Unfortunately, it also makes it incredibly easy to create fake conferences, which are already a huge problem.

Undoubtedly, some event professionals will feel threatened by this technology, particularly on the marketing side. Predicting what lies ahead is hard, but genuinely innovative event marketers and designers will stand out more than before. Anyone working on events that could be better marketed or planned using AI will be less and less relevant. ChatGPT may not help those outside English-speaking countries, but AI is available and proficient in other languages, so it will only take a little while to catch up.

Like with event technology, the best way forward is to experiment with the technology and embrace change. The more event professionals can use tools like AI, the more they can offer professionally, which is always good. With a largely negative economic outlook for 2023, adding AI skills to a resume can only be a good idea.

By mastering tools like ChatGPT, with the right prompt, anything is possible.

Scary? Maybe. Impressive? Definitely.
