How to Write a Strong Meeting Justification Letter

Getting a meeting justification letter right could make the difference between getting and not getting approval to attend a conference.

Many associations provide templates that members can use as a foundation. Templates tend to follow a consistent structure, starting with a personal request, building a case for the conference’s credibility, including a bulleted outline of the return on investment, outlining costs, and closing with a strong ask.

Some letters list specific sessions by name, not just tracks. If applicable, letters included information about continuing education credits. A meeting justification letter from the National Cancer Registrars Association letter stated: “Attendance isn't a perk, it's required for accreditation.”

Meeting justification letters always include a commitment to share the findings from the meeting with the team. Some letters outline costs (registration, air, hotel, meals, transfers) within the body, while others include a cost worksheet as a separate attachment. 

One letter, from the Association of Clinical Research Professionals, offered to map out a plan for the conference to share in advance with the supervisor.

Following is a sample justification letter combining elements of some of the best meeting justification letters.

The agenda covers [X]+ sessions across tracks including [topic 1], [topic 2], and [topic 3], led by expert practitioners and [regulatory officials / industry leaders]. I'll return with a current picture of where [the industry / this field] is heading and what it means for our work.
